AI staff for a small online shop: what to hand over and what to keep
AI is now good enough to take over a lot of the repetitive work in an online shop, but it can't run the shop for you. This guide separates what to hand over from what to keep, and shows how to start so AI saves you time instead of creating new mistakes.
What AI does well
- Product descriptions: from a name, specs and a few bullet points, AI writes complete copy in your brand voice with the right keywords.
- Bulk listings: from a spreadsheet or a folder of photos, AI prepares titles, descriptions, tags and variants for you to review and publish.
- Blog and social posts: ideas, drafts on a schedule, and one article turned into several formats.
- Customer reply drafts: the repeat questions about sizing, shipping and returns, answered according to your policies.
- Report summaries: sales numbers turned into a few plain sentences: what's up, what's down, what to do.
- Translation: products and content in another language when you sell abroad.
What to keep for humans
- Pricing, promotions and refunds. AI can suggest; you decide.
- Promises to customers about delivery dates, compensation or policy exceptions.
- Facts that must be exact, such as ingredients, health claims or certifications. AI can be confidently wrong.
- Publishing to your store without review. Keep an approval step, at least for the first few weeks.
Why many people are disappointed by AI
The usual reason isn't that the AI is bad; it's that the task is vague. "Write a description for this shirt" gets generic output. AI performs well when it has rules: tone, length, structure, words to avoid, information that must always appear, and a few examples you liked.
The second reason is messy input. If your product sheet is missing sizes or materials, the AI has to guess. Clean data matters as much as the prompt.
How to start in one week
- Pick the one repetitive task that eats the most time, such as product descriptions. Don't automate everything at once.
- Write a one-page rulebook for it, with 2 or 3 examples you're happy with.
- Test on 10 products and update the rules whenever you see a repeated mistake.
- Keep the approval step: AI drafts, you publish.
- Track your time before and after, so you know whether it's really helping.
Do it yourself or get it set up?
You can absolutely follow these steps with popular AI tools on your own. The hard parts are usually writing rules that are good enough and connecting the AI to your store, Google Drive and email so it does real work rather than just chatting.
The TPHubs AI office is the done-for-you version: we learn how your shop runs, write rules for each AI assistant, and everything they produce waits for your approval before it goes live. AI Starter includes 2 AI staff for a $199 one-time setup and $59/month, with AI usage included up to the monthly quota. Bundle it with Shopify Starter or Professional for 20% off the setup.
